Description
Time-Off is now entered for all staff via the True Time system inside Skyward Employee Access. This article provides step-by-step instructions on how to request time off as well as information regarding requesting a sub in the Aesop/Frontline system. A video tutorial is available at the bottom of the article. There is a separate article for Support Staff with information regarding how to clock-in, which can be found here: Support Staff Attendance.

7. If your employee type is not “Teacher”, you have now completed your Time Off request. Please select Save to submit for Administrative review & approval.
8. If your employee type is “Teacher”, you will see a check box at the bottom of your request to indicate whether or not a Guest Teacher is required for this absence.
9. Selecting Sub Needed, and Save will redirect you to Aesop in the same browser window. Sign In to your Aesop account to initiate the Guest Teacher reservation process.
Skyward vs Aesop
- Skyward = reserves your absence
- Aesop = reserves a Guest Teacher for your absence
If you have forgotten your Aesop login credentials, please contact HR (812-330-7700) to reset your password.
10. In Aesop, please indicate the day you are requesting a Guest Teacher. When finished, select Create Absence.
A confirmation number will appear. You can now exit from this browser window.
11. Skyward will contain a record of your requests. As soon as the absence request is reviewed and approved in the system, the request will change in font color from green to black.
12. There are multiple options to edit an event once created:
- Add – Adds a new Time Off request.
- Edit – Edits a pending Time Off request.
- Delete – Deletes a pending Time Off Request.
- Clone – Clones a pending Time Off Request. This is a convenient option for entering multiple requests.
- Attach – Attaches a file to the request.
Please note, if you attempt to Edit a Time Off request, Skyward will redirect you immediately to Aesop to make any additional edits to your Guest Teacher request(s).
When entering additional requests, Skyward will display your updated time:
Helpful Tips
1. To see the amount of time you have available: Select Time Off, then My Status. This menu will display your available Time Off codes and day(s) remaining.
You can expand and view details for any code by selecting the arrow icon on the left of each row.
2. To delete a guest teacher request before your absence has been approved: If your request is still pending in Skyward (green font), you will have the option to delete. You can do so on either the My Status or My Requests menu.
Once you delete an entry in Skyward, you will be redirected to Aesop. Once there, select Home on the navigation menu and delete your Guest Teacher request.
3. To delete your guest teacher request after your absence has been approved: Contact HR to delete from Aesop.
4. For a helpful Calendar view of your Time Off events: Select Employee Information and then select Calendar.
